Responsible for managing a busy, year-round calendar of venue hire bookings. Ensuring the best possible experience is delivered for our hires customers.
Work with all departments at WTM, ensuring the dissemination of accurate information and department buy-in for successful delivery of each hire booking.
Work with the Head of Programming and the Marketing team to develop the marketing strategy for hires, ensuring networking and publicity opportunities are maximised, in order to achieve, and aim to exceed, the venue hire income target.
Manage and develop WTM’s use of the Artifax venue management system, champion the use of the system across all staff teams and be the main liaison with Artifax.
Main Duties, Tasks and Responsibilities
Venue Hire
• Work with the Head of Programming to develop the venue hire strategy: develop new income streams, and seek new business, to ensure the venue hire budget target is achieved each financial year.
• Promote all types of venue hire for all WTM venues (including the Museum), particularly developing business for filming opportunities, music promoters, conferences and business events.
• Ensure that community use of the venues is maximised and promoted to local organisations and groups.
• Be Responsible for ensuring all venue hire schedules, forms and information is regularly reviewed and updated as required.
• Work with the Head of Programming to review annual hire costs and ensure that schedules and dates for hirings are available up to 18 months in advance.
• Ensure the effective and efficient delivery of all matters in relation to hiring of WTM venues working with all internal departments to ensure that all venue hire events run smoothly.
• Promote the venues to both existing and potential hirers, communicating WTM hire charges and negotiating deals. Arranging site visits as required to promote the facilities.
• Ensure the Venue Hire Coordinator responds to all initial hire enquiries and requests for meetings promptly to maximise potential income.
• Oversee the drafting of initial hire letters, hire packs and confirmation letters.
• Liaise and work closely with the Technical department to ensure accurate communication and fulfilment of technical requirements for hires.
