As part of our commitment to reducing our carbon footprint we insist that no throwaway plates, cutlery or cups are used in the space.

The Conference Room is on the 5th floor of our South Wing, accessible by stairs or lift. We have an accessible bathroom, a women’s bathroom and baby changing facilities on the 5th floor, and a men’s bathroom on the 4th floor.

Accessing the room and directing participants to the venue

Visit reception (North Wing) if your booking is during reception opening hours. If your booking falls outside of reception opening hours, please visit reception in advance to collect an access fob.

Please contact participants in advance to tell them where to come and how to reach you if they get lost.

Direct participants to the South Wing entrance, and use the intercom to dial 1222 for SW2, 1333 for SW3 or 1555 for the Conference Room. The phone in the room will ring and you can press the ’55’ on the key-pad to open the door for them.

Some event organisers prefer to wait at the door for participants.

Participants arriving at reception during our opening hours will be directed to the South Wing.

Register to book rooms

Firstly, you should appoint a named contact person responsible for all matters relating to your group’s bookings (you may have a separate contact for invoicing).

This contact person must:

  • Read our Room Hire Contract
  • Then register by completing our Room Hire Account Request Form including a scan or photo of your signature.
  • If you cannot upload your signature, please email a photograph of your signature to roombooking@communitybase.org

Please note that it takes about 3 working days for us to process your request form. This process may take longer if the reception team is unusually busy.

If you are registering to book a room for the next 48 hours, you may want to consider another venue.

Once we have approved the Room Hire Contract we will send you an email confirming your account with us. You will then receive log in details for the room booking system, Skedda.

If Brighton and Hove City Council are paying for your booking please include a valid council payment code when you book.

Room bookers must comply with our policies, including our Equalities Policy.

Cancellation terms

We send customers email reminders the day before the booking cancellation window closes so they have time to cancel unwanted bookings without incurring a booking charge.

Different types of customer have different cancellation windows. Please click on the statement below that best describes your situation.

As a Community Base tenant, you will:

  • be able to cancel unwanted room bookings yourself up to 7 days in advance of the booking date by logging into the booking system
  • After the 7 day deadline, you will need to contact our reception team to cancel a room booking up to 24 hours in advance of the booking date without incurring a booking charge

Bookings cancelled with less than 24 hours notice will be charged in full.

As a Pay at Booking customer, you should contact our reception team to:

  • cancel a room booking up to 7 days in advance of the booking date and receive a full refund
  • cancel a room booking up to 24 hours in advance of the booking date and receive a 50% refund

Bookings cancelled with less than 24 hours notice will be charged in full.

We strongly encourage new customers to become Pay at Booking customers, who benefit from being able to cancel bookings with only 24 hours’ notice and receive a 50% refund.

If you are unable to pay in advance with a debit or credit card, we will set you up as an Invoice in Advance customer. This offers less flexibility with respect to cancellation. As an Invoice in Advance customer, you will:

  • be able to cancel unwanted room bookings up to 7-days in advance of the booking date by logging into the booking system
  • receive an invoice when the 7-day cancellation window closes
  • not be able to cancel your booking after this point and will be required to pay the full invoice amount whether you use the room or not

Community Base reserves the right to freeze your room booking account if you do not pay your outstanding invoices in good time.
