Key Responsibilities
Bookkeeping and Financial Administration
Maintain accurate and up-to-date financial records using QuickBooks Sage 50 and modern methods in bookkeeping.
Input and process financial transactions promptly and accurately.
Monitor day-to-day expenditure against agreed budgets and ensure spending is in line with agreed authority levels.
Make electronic payments following the charity's appropriate authorisation procedures.
Reconcile and monitor customer and other incoming payments.
Monitor cash flow and transfers to and from bank accounts.
Process and reconcile credit card transactions.
Respond to financial queries raised by staff, managers, trustees and other stakeholders.
Maintain appropriate financial records and documentation to support transparency and accountability.
Income, Grants and Funders
Raise invoices for grants, fees and other income in accordance with the annual budget or as directed by managers.
Monitor outstanding invoices and undertake appropriate credit control.
Prepare financial monitoring returns as required by funders.
Support the CEO and Deputy CEO with the financial elements of monitoring reports, including providing information for narrative reports.
Work with the CEO and Deputy CEO to produce agreements with partners where funding is being forwarded from third parties.
Provide up-to-date financial information to support the CEO and trustees in making informed decisions.
Payroll and Pension Administration
Process the monthly payroll accurately and on time.
Complete relevant payroll, tax and National Insurance processes.
Administer the charity's pension scheme.
Support the year-end financial processes.
Process HMRC Payments
Budgeting and Management Information
Meet regularly with the CEO and/or Deputy CEO to review the flow of invoices and payments.
Meet at least monthly in person with the CEO and/or Deputy CEO to review budget-versus-actual expenditure and discuss any significant variances.
Provide management information at least quarterly to managers and trustees.
Work with the CEO and Deputy CEO to support the preparation of the annual budget.
Work alongside the CEO/DCEO Treasurer to reconcile and review the annual accounts.
Highlight any financial issues, risks, unexpected expenditure or significant variances promptly.
Petty Cash and Financial Systems
Review and modernise the charity's petty cash system.
Explore and implement appropriate digital or other modern methods for staff to submit petty cash and expense claims.
Help ensure financial processes are straightforward, proportionate and accessible for staff while maintaining appropriate controls.
Identify opportunities to improve the charity's financial systems and processes.
Year End and Audit
Prepare information and documentation required for year-end processes.
Work with the Treasurer, CEO and Deputy CEO to ensure financial records are complete and accurate.
About You
We are looking for someone with practical bookkeeping experience who is organised, reliable and committed to producing accurate work.
You will ideally have:
Experience working in bookkeeping.
Experience of working within the charity/voluntary sector would be an advantage.
Good working knowledge of QuickBooks and Microsoft Excel.
Experience of bank reconciliations, invoicing, payments and financial record keeping.
Experience of payroll, pension administration .
An AAT, ICB, IAB or similar bookkeeping qualification would be an advantage, although relevant practical experience is equally valued.
Excellent attention to detail and a commitment to accuracy.
The ability to manage your own workload and work independently.
Good communication and interpersonal skills.
The confidence to explain financial information clearly to colleagues who may not have a financial background.
A collaborative and supportive approach to working with colleagues, managers and trustees.
An understanding of the importance of confidentiality when handling financial and personal information.
