Client Services & Appointments Coordinator (Part-Time) at Capa First Response CiC

We are looking for an organised and friendly Client Services & Appointments Coordinator to join our team. This role is ideal for someone who enjoys helping people, is highly organised and takes pride in providing excellent administrative support. You will often be the first point of contact for families accessing our services, so empathy, professionalism and excellent communication skills are essential.

About Capa First Response
Capa First Response is a national specialist organisation providing evidence-informed, trauma-informed and neuro-affirming support to professionals and families with children and young people up to the age of 25 years experiencing Child to Parent Aggression and Harmful Behaviours (CPA).

We are a small, passionate team committed to ensuring families receive timely, compassionate and high-quality support.

About the Role
We are looking for an organised and friendly Client Services & Appointments Coordinator to join our team.
This role is ideal for someone who enjoys helping people, is highly organised and takes pride in providing excellent administrative support. You will often be the first point of contact for families accessing our services, so empathy, professionalism and excellent communication skills are essential.

Key Responsibilities
Contact families to arrange initial appointments with practitioners.
Manage practitioner diaries and appointment bookings.
Respond to emails and telephone enquiries.
Monitor appointment confirmations, cancellations and non-responses.
Maintain accurate client records and spreadsheets.
Support the smooth running of our family support services.
Provide general administrative support as required.

We are looking for someone who:
Is highly organised and able to manage multiple tasks.
Has excellent communication and customer service skills.
Is confident using Google Drive
Can work independently from home.
Has excellent attention to detail.
Understands the importance of confidentiality.
Enjoys being part of a supportive and values-led organisation.
Experience within the charity, health, education or social care sector would be an advantage but is not essential.
