General Assistant at Belltree Music Therapy CIC

Belltree Music Therapy CIC is a music therapy service provider based in Brighton with a team of 10 sessional HCPC Registered Music Therapists. We are looking for a general assistant who will support the smooth running of the organisation, in close collaboration with the current Head of Service. This new role will include a wide range of administrative tasks as well as assisting with the planning and coordination of events such as information-sharing and fundraising initiatives.

Duties and Responsibilities:
To assist the directors and therapists in organisational matters.
Set up meetings on behalf of the directors, including room bookings, arranging refreshments etc.
Take detailed and accurate minutes at board and team meetings, as required (sometimes during out-of-office hours)
Ensure therapist’s documents are kept up-to-date including DBS, insurance and HCPC Registration
Set up and manage databases
Organise and maintain effective filing systems, paper and electronic
Update policies and procedures
Work within the Policies and Procedures of Belltree Music Therapy CIC at all times
Communicate effectively with team members and partners about organisational matters

To support marketing, PR and fundraising initiativesTo research and keep the team informed of upcoming events in the community where Belltree should have a presence
• To organise information on new and existing grants
• To send mail outs to potential partners / contractors
• To update the website
• To support the organisation’s social media presence
• To help with event planning such as fundraising, information sharing events, and training days about music therapy
• To participate in the production and distribution of publicity material such as information leaflets, newsletters, training resources and information
• To provide event-planning and organisational support for fundraising initiatives and promotional activities. This may also include attendance at some functions and events as part of the Belltree team.

Person Specification – General Administrator

Education
A minimum of 5 GCSE’s including Maths & English - essential
Further qualifications in Office Administration and/or Event Planning
Proven track record in office administration
Working within the voluntary sector or an understanding its ethos and values Event planning and management

Knowledge
Understanding of arts therapies and the value or arts in health care
Knowledge of the voluntary/Charity sector
An understanding of confidentiality and GDPR principles

Skills
Sound knowledge in the use of MS Office systems, particularly Word, Excel and Outlook
Database administration
A mature and effective communication style, including face to face, telephone, social media, website and in writing
Ability to multi-task and prioritise workload within a varied role
Strong organisational skills in respect of self and others
Ability to work independently and use initiative
Attention to detail with a high level of accuracy
Knowledge of design software such as MS Publisher
